Professional Driver Accommodation, Meals & Fatigue Management Requirements

At Sydney Charter Bus Australia, we are committed to maintaining the highest standards of safety, compliance, and operational efficiency across all overnight and extended charter services. This policy outlines the mandatory requirements relating to driver accommodation, meal allowances, rest periods, and logistical considerations for multi-day or extended-duration bookings.

1. Legal & Safety Compliance

All overnight and extended charter services are conducted in strict accordance with Australian fatigue management regulations and road transport laws. Professional drivers are legally required to undertake appropriate rest breaks and obtain adequate sleep between driving shifts. These obligations are not discretionary and form a critical component of passenger safety and operational compliance.

2. Driver Accommodation Requirements

For any charter extending beyond a single operational day or requiring an overnight stay, suitable accommodation must be arranged for the driver.

Minimum accommodation standards include:

  • A private, single-occupancy room (no shared rooms permitted)
  • A private bathroom
  • Basic amenities including television, heating/cooling, and secure access
  • A minimum standard equivalent to a 3-star rated motel or hotel
  • A safe, clean, and quiet environment conducive to rest

These standards are non-negotiable and align with industry expectations for commercial passenger transport operations.

3. Driver Meal Allowance Policy

A driver meal allowance of $70.00 per day (per driver) applies to all overnight and extended charter services.

This allowance is mandatory and applies in all circumstances, including where clients indicate that meals will be provided.

Rationale

While clients may offer to supply meals as part of their itinerary, professional drivers must retain autonomy over their dietary intake due to:

  • Dietary requirements (e.g. allergies, intolerances)
  • Lifestyle choices (e.g. vegetarian or vegan diets)
  • Religious or faith-based requirements
  • The need to manage meal timing in accordance with regulated driving and rest periods

For these reasons, drivers must have the flexibility to independently source meals that meet their individual needs. Accordingly, the daily meal allowance remains applicable regardless of any client-provided catering.

4. Booking & Responsibility Options

Clients may choose one of the following arrangements:

(a) Company-Arranged Accommodation

We can source and book appropriate accommodation on behalf of the client. All costs will be itemised and included within the final invoice or quoted separately as confirmed.

(b) Client-Arranged Accommodation

Clients may elect to arrange accommodation directly, particularly where group bookings or negotiated rates apply. In such cases, all accommodation must meet the minimum standards outlined in this policy.

Accommodation details must be provided in advance for approval to ensure compliance.

5. Alternative Accommodation Arrangements

It is not a requirement for the driver to stay at the same venue as passengers. In many cases, drivers may be accommodated at a nearby motel or suitable lodging that meets operational and cost-efficiency considerations.

Where the driver is accommodated separately, transfer logistics (if required) must be factored into the itinerary.

6. Vehicle Parking & Site Access

Where accommodation is provided by the client, the property must be capable of safely accommodating the vehicle.

Requirements include:

  • Adequate off-street parking for a coach or minibus
  • Additional space for trailers or luggage equipment (if applicable)
  • Suitable access for large vehicles, including turning clearance and height restrictions
  • Compliance with any local council or venue access regulations

If appropriate parking is unavailable, alternative arrangements may be required at additional cost.

7. Extended Charter Considerations

For extended charters (multi-day tours, interstate travel, school camps, corporate retreats, etc.), additional factors may apply:

  • Multiple overnight stays may require consistent accommodation standards across all locations
  • Itineraries must allow for regulated driving hours and rest breaks
  • Additional driver(s) may be required for long-distance or high-hour operations
  • Standby time, waiting periods, and repositioning of vehicles may incur additional charges

All such requirements will be clearly outlined during the quoting process.

8. Cost Implications

Driver accommodation and meal allowances are not included in standard charter pricing unless explicitly stated. Costs associated with accommodation, meals, and extended allowances will be:

  • Quoted separately; or
  • Included as line items within the overall booking confirmation

Pricing may vary depending on location, availability, and seasonal demand.

9. Non-Compliance

Where accommodation or meal provisions do not meet the minimum standards outlined, Sydney Charter Bus Australia reserves the right to:

  • Arrange compliant alternatives at the client’s expense
  • Delay or suspend services until suitable arrangements are in place
  • Refuse continuation of service where safety or legal compliance is compromised
