4. Rates & Pricing

Why We Do Not Publish Fixed Rates

Every charter, transfer and tour we operate is different. The cost of a service is determined by a combination of factors that cannot be reduced to a simple hourly or daily rate — including vehicle type, group size, route distance, road and traffic conditions, tolls, driver hours, overnight requirements, seasonal demand and any specific client requirements.

Publishing a rate card would be misleading. Instead, we provide accurate, itemised quotes based on the specific itinerary you present. All quotes include GST. There are no hidden charges — tolls are passed through at cost in accordance with our Terms & Conditions.

Service Duration & Pricing Basis

Half Day: Typically up to 5 hours — quoted per itinerary

Full Day: Typically 6–10 hours — quoted per itinerary

Multi-Day: 2 or more consecutive service days — quoted per itinerary including driver accommodation, meal allowances and any overnight requirements

Extended Charter: Long-haul, interstate or national tours — quoted per full itinerary presented

Peak Seasons & Availability

Tourism peak season runs September through January, with December consistently the busiest month of the year. Early enquiry is strongly recommended for all peak-period bookings.

School holidays, public holidays and major Sydney events also create high demand periods. We recommend allowing a minimum booking lead time of 7–14 days for standard services and significantly more for peak-period and multi-vehicle requirements.

5. Operational Standards

Meet & Greet

Meet & greet services are available for airport arrivals, cruise terminal transfers, and tour group collections. Our drivers will meet passengers at the designated arrival point with appropriate signage and coordinate the group efficiently. Full details on our meet and greet procedures are published in our Meet & Greet Assist Services page.

Flight Tracking

For all airport transfer services, SCBA monitors inbound flight arrival times in real time. Where a flight is delayed, our driver will adjust accordingly — you will not be charged for circumstances outside your control. See our Flight Delays Policy for full details.

Driver Commentary & Tour Guides

Our drivers are transport professionals, not tour guides. Under the Work Health & Safety Act 2011 (NSW) and Chain of Responsibility obligations, a driver’s primary duty is the safe operation of the vehicle — not delivering commentary. For tours requiring guide commentary, we strongly recommend engaging a qualified, licensed tour guide separately. Our Driver Commentary & Tour Guide Policy outlines this in full. About us →

Multilingual Drivers

Whilst our primary operating language is English, some of our drivers speak additional languages. Where a specific language requirement is critical to the success of your tour, please advise us at the time of enquiry so we can do our best to accommodate. We do not guarantee availability of specific languages and recommend engaging a licensed multilingual tour guide for language-dependent itineraries.

Unsealed Roads

SCBA does not operate on unsealed, unpaved or otherwise unsuitable road surfaces. This policy exists to protect passenger safety, vehicle integrity and our insurance cover. Itineraries that include unsealed roads cannot be accepted. Our Unsealed Roads Policy should be read by all tour operators presenting rural or off-road itineraries prior to enquiry. About us →

Pre-Service Checklist

All clients are required to review and complete the Pre-Service Booking Checklist prior to their service date. This ensures all operational details are confirmed, accurate and communicated to our team in advance.

6. Compliance, Accreditation & Why It Matters

NSW Bus Operator Accreditation — The Only Compliance That Counts

In New South Wales, there is only one form of operator compliance that carries legal weight: NSW Bus Operator Accreditation, issued under the Passenger Transport Act 2014 (NSW) by Transport for NSW through the Bus Operator Accreditation Scheme (BOAS).

Accreditation requires an operator to demonstrate good repute, financial viability, adequate maintenance facilities, criminal history clearance and the operational knowledge to run a safe passenger service. Operators are independently audited. Accreditation can be — and is — stripped from operators who fail to maintain standards.

Sydney Charter Bus Australia holds NSW Accreditation No. 39461. You can verify this directly with Transport for NSW at any time.

⚠ Industry Memberships — Know the Red Flags

Many operators and brokers in the charter industry display logos from industry associations, tourism bodies and membership organisations. These memberships are not government issued, not audited, and not a substitute for accreditation. Any company or website can pay to join them.

A company displaying multiple industry membership logos is not necessarily more compliant — it may in fact be the opposite. This is a known pattern among brokers, who use membership logos to project legitimacy while placing bookings with operators you have never vetted.

A broker takes your booking and subcontracts it to a third party. You do not know who the actual operator is, whether their vehicles are accredited, or whether their drivers meet legal requirements. In the event of an incident, the legal and insurance consequences can be severe — particularly for schools and government clients.

The questions to ask any operator: What is your NSW Accreditation number? Are you the direct operator of the vehicle? Can I verify your accreditation with Transport for NSW?

Insurance & Safety

All SCBA vehicles carry the appropriate public liability and passenger liability insurance required under the Passenger Transport Act 2014 (NSW) and the BOAS accreditation scheme. All drivers hold current authorisations issued by Transport for NSW. Our fleet is serviced every 6 months or 10,000 kilometres (whichever comes first) using genuine parts, at approved maintenance facilities. Full compliance details are published in our Transport Safety & Compliance Policy.

7. Terms, Payment & Cancellation

Invoicing & GST

Sydney Charter Bus Australia is registered for GST. All quotes include GST — there is no surprise tax addition at the time of invoice. Tax invoices are issued on confirmation of booking and include all applicable charges.

Purchase Orders

We accept purchase orders from schools, government departments and corporate accounts. A purchase order number can be included on your booking form and will be referenced on your tax invoice. Credit account applications are available for approved organisations.

International Tour Operators & Non-Australian Clients

Payment for non-Australian based tour operators and clients is required in full, in advance, in Australian dollars (AUD). A minimum of 30 days prior to the service date is required for all international and non-Australian based bookings. No exceptions. Bank transfer details are provided on request.

Cancellation Policy

Our cancellation policy is published in full in our Terms & Conditions. Cancellation terms vary depending on the nature of the service, the lead time, and the mutual arrangements in place for long-term or partnership bookings. We are willing to negotiate terms with established tour operators and repeat business partners on a case-by-case basis. Terms & Conditions →

School & Education Providers

Schools, OOSH providers and Vacation Care operators are subject to our School Terms & Conditions, which include specific requirements around supervision ratios, student risk assessments, WWCC verification and onboard conduct. Please review these prior to booking.

Payments

Full payment details, accepted methods and bank transfer instructions are available on our Payments page. About us →

8. Industry Leadership in Policy & Transparency

Sydney Charter Bus Australia is — without reservation — the most compliant, transparent and thoroughly documented charter bus operator in New South Wales. No other private charter bus operator in NSW publishes, maintains and actively enforces the breadth of company policies we have developed and made publicly available.

Our policies are not boilerplate templates. They are original, professionally drafted frameworks reflecting over two decades of operational experience, our legal obligations under the Passenger Transport Act 2014 (NSW), the Heavy Vehicle National Law, the Work Health & Safety Act 2011 (NSW), and our unwavering commitment to every client who places their trust in us.

We are dedicated to compliance, safety, ethical workforce practices, transparency and no hidden surprises. Other operators in the NSW charter industry reference our standards. We welcome the scrutiny — it is how we raise the bar for everyone.
