Costs & Pricing
How much does bus hire cost in Sydney?
Charter bus hire in Sydney is always priced by the vehicle, not by the number of passengers. The fare is the same whether your group fills the bus or leaves half the seats empty. What you pay is determined by vehicle size, the total hire duration (calculated depot to depot), the time of day, the day of the week, applicable road tolls, and whether the service falls outside standard operating hours.
As a general guide, minibus hire (12 to 24 seats) runs from approximately $99 to $145 per hour, and coach hire (34 to 62 seats) runs from $155 to $220 per hour, inclusive of GST. These are indicative rates only. Every service is quoted individually because no two itineraries are identical. A Sunday evening service with multiple pickup points will cost more than a weekday morning service with a single pickup. Why is the price the same regardless of how many passengers are travelling?
Charter bus hire is priced on the operational cost of running a vehicle, a driver, fuel and insurance for a defined route and duration. Those costs are essentially fixed regardless of how many people are seated. The practical consequence is that the more people in your group, the lower the per-head cost becomes. A 42-seat coach carrying 40 people works out to a much lower per-person cost than the same group splitting across multiple rideshares or taxis. For groups trying to compare costs, divide the quoted charter rate by your passenger count to find the true per-head cost.
What is included in a bus hire quote?
Every Sydney Charter Bus Australia quote includes GST, the driver’s fee, fuel, insurance, vehicle operating costs and mileage for the agreed itinerary. In the Sydney Metro area, a minimum of two hours is added to all hourly bookings to cover the vehicle’s operational travel time to and from the service location. Road tolls are charged separately at the applicable Class B heavy vehicle rate and are itemised on the invoice. Parking fees, venue entry fees, driver overnight accommodation and meal allowance for extended or interstate services are also charged separately. Do weekend and public holiday services cost more?
Yes. Weekend services attract a penalty rate loading on top of the base charter rate. Public holiday services attract a minimum surcharge of 25% on the base rate, and services that commence before 6:00 AM or extend past 10:00 PM attract Out of Standard Operations (OOSO) loadings. Services extending past midnight attract a double-time rate. All applicable loadings are confirmed in the quotation before booking. It is your responsibility to check whether your service date falls on a NSW public holiday. A current list is published at nsw.gov.au. Note also that in 2026 and 2027, where ANZAC Day falls on a Saturday or Sunday, the NSW Government has declared the following Monday a public holiday, and the surcharge applies to both days.
Are tolls included in the price?
No. Road tolls are charged to the Hirer at cost, in addition to the base charter rate. Our vehicles are Class B heavy vehicles and toll rates for Class B differ from private car rates. On routes using the NorthConnex and M2 corridor, for example, the Class B toll rate is $31.17 each way per tunnel. All tolls applicable to the confirmed route are itemised on the invoice. Is there a minimum hire time?
Yes. In the Sydney Metro area, a minimum of two hours is applied to all hourly bookings to account for the vehicle’s travel time to and from the depot. This minimum may be longer depending on the time of day, the pickup location’s distance from the depot, and the number of stops. Late night and early morning services (between 10:00 PM and 6:00 AM) attract OOSO minimum charges. All minimum charges are confirmed in the quotation.
What are the waiting time charges?
Fifteen minutes of waiting time from the scheduled departure time is provided at no charge. After this, waiting time is charged in 15-minute increments at $30.00 per 15 minutes for minibuses and $50.00 per 15 minutes for coaches. Waiting time charges apply where the departure is delayed by the Hirer or passengers, not where delay is caused by factors within SCBA’s control.
What is the credit card surcharge?
Credit card surcharges reflect our actual cost of card acceptance. The applicable rates are: Visa and Mastercard personal 1.77%, Visa and Mastercard commercial 2.50%, American Express 3.50%, Diners Club 3.50%, JCB 2.25%, P-Card (schools and government) 1.28%, and non-Australian or international cards 3.85%. Booking & Payment
How far in advance should I book?
For standard weekday bookings, one to two weeks is generally sufficient. However, for events, weekends, public holidays and peak periods, book as early as possible, ideally at the same time you purchase event tickets or finalise your event programme. The following periods fill very quickly: New Year’s Eve, Christmas and Boxing Day, ANZAC Day, Vivid Sydney (May to June), NRL and rugby finals, school formal season (October to December) and the full school holiday periods in January, April, July and September. How do I get a quote?
Use our online quote form or call us on 1300 468 199. To receive an accurate quote, provide the service date and times, all pickup and drop-off locations with full street addresses, your approximate passenger count, and any specific requirements such as luggage, accessibility needs or special event access. Vague enquiries produce vague quotes. The more detail you provide, the faster and more accurately we can respond.
Is a quote a confirmed booking?
No. A quote is not a confirmed booking. A booking is confirmed only when we have issued a formal Booking Confirmation and tax invoice, and the required deposit has been received. Until that point, availability is not held and the vehicle is not allocated. Quotes are valid for 14 days from the date of issue.
How much deposit is required?
A non-refundable deposit of 20% of the total booking value is required for all bookings made more than seven (7) days prior to the service date. Bookings made within 7 days of the service date require full payment at the time of booking. The deposit secures the vehicle and driver allocation.
When is full payment due?
Full payment is due at least seven (7) days before the service date. Bookings made within 7 days require full payment at the time of booking. Failure to pay by the due date may result in cancellation of the booking at 100% of the total value. See our Payments page and Terms & Conditions.
What are the cancellation fees?
Cancellations must be made in writing and acknowledged by SCBA. The cancellation fee schedule is: non-cancelled service or no-show 100%, within 48 hours 100%, 3 days prior 80%, 4 days prior 70%, 5 days prior 50% or deposit (whichever is greater), 6 days prior 20% or deposit (whichever is greater), more than 7 days prior 10%. Can I change my booking date?
Date changes are subject to availability and are not automatically possible. A date change is processed as a cancellation of the original booking and a new booking for the new date, and a rebooking fee of $110.00 inc. GST applies. If we have availability on the new date and you give a minimum of four (4) weeks’ written notice before the original service date, the cancellation fee on the original booking does not apply and your deposit transfers to the new booking. Where we do not have availability on the new date, you may cancel (cancellation fees apply), proceed with the original booking, or wait to see if availability presents itself. Do you offer credits for cancellations?
No. Sydney Charter Bus Australia does not offer credits, deferrals or postponements. A cancellation is a cancellation. If you wish to book again at a future date, that is a new booking subject to availability, and the standard rebooking fee of $110.00 inc. GST applies. Cancellation fees apply to the original booking regardless.
Can I join a group or pay per person?
No. Sydney Charter Bus Australia is an accredited private group operator. We provide private charter services for groups, not shared or per-person public transport services. All bookings are for the exclusive use of the Hirer’s group for the duration of the service.
Vehicles & Fleet
What size buses do you have?
Our fleet ranges from 12 to 62 seats: 12-seat Toyota Hiace Commuter and Mercedes Sprinter minibuses; 20-seat Toyota Coaster; 24-seat Mitsubishi Rosa; 34-seat Midi-Coach; 42, 48, 53 and 57-seat full-size touring coaches; and a 62-seat HI-CAP High Capacity Coach. What size bus do I need for my group?
Match the vehicle to your confirmed passenger count, not your maximum. A group of 18 should book a 20-seat Coaster, not a 34-seat coach. A group of 35 should book a 42-seat coach. Booking a larger vehicle than you need costs more. Booking a vehicle that is too small creates a safety and compliance issue, as standing passengers are not permitted. If you are unsure, tell us your group size and we will recommend the most appropriate vehicle. Our Fleet page lists exact seat counts for all vehicles.
Are the buses air-conditioned?
Yes. All Sydney Charter Bus Australia vehicles are fully air-conditioned. Air-conditioning is a standard feature of every vehicle in our fleet.
Do the buses have seatbelts?
Yes. All SCBA vehicles are fitted with three-point lap-sash seatbelts at every passenger position. Wearing a seatbelt is a legal requirement under the Road Rules 2014 (NSW) and applies to all passengers including children. There are no exceptions. Standing passengers are not permitted on any SCBA vehicle under any circumstances.
Can I request a specific vehicle?
You can specify the vehicle type and size required, and we will allocate the most appropriate vehicle from our fleet. A specific vehicle model cannot be guaranteed but a vehicle of at least equivalent passenger capacity will always be provided. In exceptional circumstances, SCBA may substitute a vehicle of equivalent capacity where operational requirements arise.
Do you have accessible or wheelchair-accessible vehicles?
Our vehicles are not fitted with wheelchair access ramps as standard. Passengers with mobility requirements requiring ramp access should advise us at the time of enquiry so we can advise on the most appropriate options. Collapsible walking frames and manual wheelchairs that can be folded and stored in the luggage compartment can be accommodated on most vehicles. Do you provide self-drive bus hire?
No. All SCBA vehicles are provided with a fully authorised, licensed and insured driver. We do not offer self-drive bus hire or dry hire under any circumstances. Every vehicle must be operated by an SCBA driver.
Can I use the bus lanes in Sydney?
Yes. All SCBA vehicles are registered as Charter Buses (CBUS) with TV number plates, which legally entitles them to use bus lanes and bus-only lanes on Sydney roads under the Road Transport (Road Rules) Regulation 2014 (NSW). This is a meaningful operational advantage during peak hour travel along major Sydney arterials and is one of the reasons dedicated charter buses perform more reliably in peak hour than private vehicles or rideshares.
Onboard Rules & NSW Law
Can we drink alcohol on the bus?
No. Alcohol consumption is strictly prohibited on all SCBA vehicles at all times. This is SCBA company policy and is also consistent with the requirements of the Passenger Transport (General) Regulation 2017 (NSW). Sydney Charter Bus Australia is not a party bus operator. There are no exceptions to this rule. If your group intends to consume alcohol during travel, please do not proceed with a booking. Where alcohol is found on board, the driver is authorised to immediately terminate the service. Termination for alcohol does not entitle the Hirer to a refund.
Can we eat food or drink coffee on the bus?
No. Under Section 52 of the Passenger Transport (General) Regulation 2017 (NSW), food and beverages (including hot drinks such as coffee and tea) are prohibited on charter buses. Bottled water is permitted at all times. A passenger with a medical condition requiring food or medication during the journey must declare this to the driver at boarding. Medical exceptions are permitted. The prohibition must be communicated by the Hirer to all passengers before the day of the service.
Can we smoke on the bus?
No. Smoking and vaping are prohibited by law on all vehicles under the Smoke-free Environment Act 2000 (NSW). This extends to all enclosed areas of the vehicle including any onboard toilet facility. Any passenger wishing to smoke must do so outside the vehicle and must remain at least four metres clear of the vehicle.
Can we bring decorations or balloons?
Balloons and decorations are prohibited unless prior written approval has been granted by SCBA. This is because balloons and certain decorations near the driver can constitute a distraction and a safety hazard. If you wish to bring decorations for a celebration, contact us before the booking to discuss what can be permitted.
Can passengers stand on the bus?
No. Standing passengers are not permitted on any SCBA vehicle under any circumstances. Every passenger must be seated in a designated seat with their seatbelt fastened throughout the journey. The vehicle’s legal passenger capacity must not be exceeded.
Can we play our own music on the bus?
Personal music played at a reasonable volume through personal devices is generally acceptable. Passengers are required to keep noise to a level that does not distract the driver. The driver has the authority to ask passengers to reduce volume or cease playing music where it becomes a safety concern. Connecting personal devices to the vehicle’s sound system requires prior arrangement with SCBA. Copyright material may not be publicly broadcast on board without a valid public performance licence.
Can we use the onboard toilet while the bus is moving?
No. Onboard toilets (where fitted) must not be used while the vehicle is in motion. Passengers moving through a vehicle travelling at highway speeds presents a serious safety risk. Onboard toilets are available for genuine emergencies only when the vehicle is stationary. All toilet breaks on longer journeys are taken at scheduled stops at highway rest areas or roadhouses.
Drivers, Accreditation & Safety
Are your drivers licensed and authorised?
Yes. All SCBA drivers hold a current NSW Driver Authority issued under the Passenger Transport Act 2014 (NSW) and hold the appropriate Heavy Vehicle licence for the vehicle they are operating. Drivers are required to present their authority card on request. All vehicles are accredited by Transport for NSW under the Bus Operator Accreditation Scheme (BOAS), NSW Accreditation No. 39461.
What is an accredited bus operator and why does it matter?
An accredited bus operator holds a formal licence from Transport for NSW under the Passenger Transport Act 2014 (NSW) to operate passenger bus services. Accreditation requires the operator to meet ongoing standards for vehicle safety, driver management, insurance, record-keeping and safety management systems. SCBA holds Accreditation No. 39461. Accreditation is publicly verifiable on the Transport for NSW register. Using a non-accredited operator is illegal under NSW law and voids any insurance cover. What is the difference between a direct operator and a broker?
A direct operator owns its own vehicles and employs its own drivers. When you book with a direct operator, you are dealing with the company that will actually run your service. Sydney Charter Bus Australia is a direct operator. A broker does not own vehicles or employ drivers. A broker takes your booking and passes it to a third-party operator, adding a margin in the process. This creates an accountability gap: if something goes wrong on the day, the broker cannot fix it directly. Always ask whether the company you are booking with owns its own fleet and employs its own drivers.
Do your drivers have Working With Children Checks?
Yes. All SCBA drivers assigned to school transport services hold a current Working With Children Check (WWCC) issued by the NSW Office of the Children’s Guardian under the Child Protection (Working with Children) Act 2012 (NSW). WWCC status is verified before any driver is assigned to a school booking. This applies to all school excursions, daily school bus services, OOSH transport and any service carrying children as the primary passenger group.
What is the driver fatigue policy?
SCBA’s company driver fatigue policy requires a mandatory 20-minute rest break after every three (3) hours of continuous driving. This policy is more conservative than the NHVR standard minimum and supersedes it for all SCBA services. Drivers operate within a maximum of 12 hours total work per 24-hour period. These requirements cannot be varied by the Hirer. Under Chain of Responsibility (CoR) provisions of the Heavy Vehicle National Law, Hirers share legal accountability for safety outcomes and can face personal liability for non-compliant scheduling instructions. Does the driver provide tour commentary?
No. Driver commentary and live tour narration is not a standard service. Our drivers are transport professionals whose primary responsibility is the safe operation of the vehicle. All commentary must be delivered by a separately engaged professional tour guide. See our Driver Commentary Policy.
Do you operate on public holidays?
Yes. Sydney Charter Bus Australia operates 365 days a year including all public holidays. Public holiday services attract a minimum surcharge of 25% on the base rate, and OOSO loadings apply to early morning and late night periods. All public holiday surcharges are confirmed in the quotation before booking.
School & Education Groups
Do you provide school excursion buses?
Yes. School excursion transport is one of our core service categories. We provide buses and coaches for school excursions, swimming carnivals, sport runs, inter-campus shuttles, OOSH transport, daily school bus services and all other educational group transport requirements. Who is responsible for student behaviour on the bus?
The school, teacher in charge or supervising adult retains full duty of care and supervision over all students throughout the service. Our drivers are transport professionals and are not responsible for the supervision or behaviour management of students. A qualified teacher or authorised supervisor must be present on the vehicle at all times. Where student behaviour presents a safety risk, the driver has the authority to halt the service. Do you provide daily school bus runs?
Yes. We provide contracted daily school bus services for independent schools, Catholic schools and educational organisations across Greater Sydney. This includes before-school pickup runs, after-school drop-off routes, inter-campus shuttles, weekly sport and swimming transport, and recurring activity transport. What happens if a student is sick on the bus?
We strongly recommend that schools provide sickness bags (emesis bags) for all students on any excursion. Where a student uses a sickness bag properly with no vehicle contamination, no additional cleaning charge applies. Where vomiting results in vehicle contamination, biohazard cleaning fees apply: $350 for contamination on floor or hard surfaces, and $550 for contamination on upholstered seats or seat belts. Do you handle anaphylaxis on school transport?
Any student with a known anaphylaxis risk must be declared to SCBA at the time of booking. The supervising teacher must ensure the student’s prescribed EpiPen or equivalent medication is available on the vehicle at all times. See our Anaphylaxis Management Policy.
Luggage, Accessibility & Special Requirements
How much luggage can I bring?
The standard luggage allowance is one suitcase or bag per passenger stored in the underfloor luggage hold, plus one small carry-on item in the cabin. All luggage must be declared at the time of booking. Excess luggage, oversized items, sporting equipment, camping gear, musical instruments, surfboards and specialist equipment must be declared in advance. SCBA reserves the right to limit luggage carried on any vehicle to maintain compliance with the vehicle’s permitted Gross Vehicle Mass (GVM) under NSW heavy vehicle regulations. Can luggage be stored in the aisle?
No. The aisle of all passenger vehicles must be kept clear at all times in case of emergency. Luggage stored in the aisle is a fire safety hazard and is prohibited under NSW transport regulations. All luggage must be stored in the underfloor hold, overhead racks (where fitted), or under the seat in front of the passenger.
What happens if I leave something on the bus?
Lost property found on SCBA vehicles is recorded and held at our depot for sixty (60) days from the date of recovery. Contact us as soon as possible to arrange collection. Any freight or delivery costs are the owner’s responsibility. Items unclaimed after 60 days are disposed of at SCBA’s discretion. Contact us via our contact page.
Can I bring a pram or stroller?
Prams and strollers can be accommodated on most vehicles when folded and stored in the underfloor luggage hold. An unfolded pram cannot be carried in the cabin or in the aisle. Advise us at the time of booking so we can ensure the vehicle has sufficient luggage capacity.
Can I bring a bicycle or surfboard?
Bicycles, surfboards and other long or bulky items must be declared at the time of booking. Depending on the vehicle and other luggage being carried, they may or may not fit in the underfloor hold. Where they cannot be accommodated, a luggage trailer or separate vehicle may be required. Contact us before booking to discuss your specific requirements.
Routes, Timing & Interstate Travel
What areas do you service?
Sydney Charter Bus Australia services all Greater Sydney suburbs, surrounding regions and throughout New South Wales. We operate to the Blue Mountains, Hunter Valley, Central Coast, Wollongong, Illawarra and Canberra as day trip or regional destinations. Are journey times guaranteed?
No. Scheduled times are estimates only and are not guaranteed. SCBA accepts no liability for delays caused by traffic, road closures, accidents, adverse weather, mandatory driver rest requirements or any other circumstance beyond its reasonable control. Build contingency time into your itinerary for all time-sensitive services. For international flight departures, allow a minimum of 3.5 hours from estimated airport arrival to scheduled departure. For domestic flights, allow 2.5 hours. For event transport, allow 30 minutes before event commencement. All coaches are restricted to 100km/h under NSW heavy vehicle law, so never base journey time estimates on a car navigation app.
Can you add extra pickup or drop-off stops?
Yes, subject to availability and a charge. Each quote is based on the pickup and drop-off locations specified at the time of quotation. Additional stops added after confirmation are charged from $10 per local stop up to $50 or more for significant deviations. Long-distance additional stops are quoted separately. Do you go on unsealed roads?
No. All SCBA vehicles operate on sealed roads only. We do not travel on gravel, dirt or unformed roads under any circumstances. See our Unsealed Roads Policy.
Do you travel to the snow?
We do not operate above the snow line. We do not service Perisher Valley, Thredbo ski resort, Charlotte Pass, Mount Hotham, Falls Creek or Mount Buller. Our coaches are not fitted with snow chains and are not rated or insured for alpine road conditions where chains may be compulsory. We can transport your group to Jindabyne, Cooma or Thredbo Village below the resort on sealed, snow-free roads. A specialist alpine transport operator should be engaged for resort transfers above the snow line.
Can you do interstate travel?
Yes, using full-size touring coaches only. We service Melbourne, Brisbane, Gold Coast, Canberra and destinations throughout NSW. Any destination more than approximately six hours from Sydney requires the driver to stay overnight before returning, making interstate services a minimum two-day operational commitment. A mandatory $70 per day driver meal allowance and driver accommodation apply to all overnight services. All interstate services use sealed roads only. See our Interstate Coach Transfers & Tours page.
How long does it take to get to the Blue Mountains, Hunter Valley or Canberra?
All journey times are based on the 100km/h heavy vehicle speed limit and include mandatory 20-minute rest stops every three hours. Approximate one-way coach times from Sydney CBD: Blue Mountains (Katoomba) 1.5 to 2 hours, Hunter Valley (Cessnock) 2.5 hours, Wollongong 1.5 hours, Central Coast 1.5 hours, Canberra 4 hours, Melbourne 10 to 12 hours, Brisbane 10 to 12 hours. Add 20 to 30% to any car navigation estimate for accurate coach journey planning.
