| Overview | Charter bus and coach hire pricing is determined by a number of operational and logistical variables. Because no two bookings are identical, all fares are calculated individually based on the specific requirements of each service. This page outlines the primary pricing factors, potential additional charges, what is included in every booking, vehicle sizes, and the applicable rules and regulations under NSW transport law. |
Indicative Hourly Rate Ranges
| Vehicle Category | Hourly Rate Range | Seating Capacity |
|---|---|---|
| Minibuses | $99 – $145 per hour | 12 to 24 seats |
| Coaches | $155 – $250 per hour | 34 to 62 seats |
All rates are inclusive of GST and are indicative only. A confirmed fare requires full itinerary details. All hourly bookings in the Sydney Metro area include an additional 2 hours for depot-to-depot travel time. This may be extended depending on pickup and drop-off location, time of day, and number of service stops.
1. Pricing Factors
All charter bus and coach hire pricing is determined by the following factors. The specific combination and weighting of these variables is assessed individually for every booking:
| # | Factor | Detail |
|---|---|---|
| 1 | Size of the vehicle | Pricing is based on vehicle size, not passenger count. A 12-seater minivan is priced the same whether 2 or 12 passengers are travelling. |
| 2 | Type of vehicle | Standard and luxury models are available across all vehicle sizes. Executive configurations are priced accordingly. |
| 3 | Pickup location | All rates are calculated depot to depot. The distance from depot to the pickup point directly affects the total fare. |
| 4 | Destination | Total distance travelled determines fuel consumption, which is a primary component of the fare calculation. |
| 5 | Time of day | Peak and non-peak hours affect total operational time. A minimum of 1 hour pre and post service must be allocated to account for Sydney traffic conditions — even for local services. A 6-hour booking equates to 8 hours of operational time. |
| 6 | Day of the week | Weekend and public holiday services attract penalty rates under Australian transport industry awards. These are mandatory employment obligations reflected in all weekend and public holiday fares. |
| 7 | Hours per day | Total service duration, inclusive of all operational time from sign-on to sign-off. |
| 8 | Mileage | Total kilometres travelled, incorporating fuel consumption and wear and tear on the vehicle. |
| 9 | Early starts & late finishes | Services commencing before 6:00am or concluding after 10:00pm fall outside standard operating hours and attract Out of Standard Operations (OOSO) pricing. |
| 10 | Type of service | Hourly hire, single transfer, return transfer, multi-stop, day tour, and charter services are each costed under different operational frameworks. |
| 11 | Overnight & extended travel | Multi-day and extended charters require driver accommodation, meal allowances, and additional compliance considerations that are separately itemised. |
| 12 | Logistics & planning | Complex itineraries involving multiple pickups, drop-off locations, and tight scheduling require additional operational planning time that is reflected in the final quote. |
2. Potential Additional Charges
The following charges are not included in the base fare and may apply depending on the specific requirements of the service. All applicable additional charges will be itemised in the booking confirmation or communicated in advance wherever operationally possible:
| Additional Charge | Conditions |
|---|---|
| Road Tolls | Optional and not always required. Applied where toll roads are necessary for the agreed route and passed on at cost. |
| Parking Fees | Applicable at venues including Central Station, Sydney Fish Markets, Sydney Airport, Manly Beach, and Echo Point in the Blue Mountains. Passed on at cost. |
| Entry Fees | National Parks and other locations where commercial vehicle entry fees are levied. Passed on at cost. |
| Driver Accommodation | Applicable to overnight and extended charter services only. Minimum 3-star standard, private room. See Extended Charter Policy. |
| Driver Meal Allowance | $70.00 per day per driver. Applicable to overnight and extended charter services only. Mandatory regardless of client-provided catering. |
| Overtime | Charged where the service extends beyond the confirmed booking time. Overtime must be approved prior to being incurred. |
| Cleaning Fee | Charged where an internal vehicle clean is required following the service due to passenger conduct. |
| Additional Pickups or Drop-offs | Any pickup or drop-off location not specified in the original booking confirmation. |
| Waiting Time | Charged where passengers are not ready to depart at the confirmed boarding time. A 15-minute grace period applies before waiting time charges commence. |
| Credit Card Surcharge | A surcharge applies to all credit card payments. The rate varies by card type in accordance with bank processing fees. |
| Vehicle Upgrade | Where a larger or premium vehicle class is required following confirmation of the original booking. |
| Booking Amendments | Changes to confirmed booking times or dates may result in fare adjustments in accordance with the applicable pricing factors. |
| Additional Passengers | Where an increase in passenger numbers beyond the confirmed booking requires a vehicle upgrade. |
| Excess Baggage | May require a luggage trailer or vehicle upgrade depending on volume and type of items. |
| Luggage Trailer | Where a towed luggage trailer is required to accommodate excess or oversized baggage. |

| ✗ | Alcohol — zero tolerance. No alcohol to be consumed on board at any time. Sydney Charter Bus Australia is not a party bus operator |
| ✗ | Passengers in excess of the vehicle’s legal seating capacity |

| ✗ | Baggage placed in aisles or stacked on spare seats. Small items must be stored under seats for safety |
Mandatory passenger obligations:

| ✓ | Passengers must remain seated at all times unless necessary to move |
| ✓ | All pickups must be at legal locations — not STA Bus Zones, No Stopping Zones, Taxi Zones or Loading Zones |
| ✓ | Itineraries must be suitable for heavy vehicle access — no roads with height, weight or length restrictions, no narrow streets without turning areas |
| ✓ | All passengers must comply with lawful directions from the driver or operator at all times |
All buses from 12 to 57 seats are classified as heavy vehicles and must comply with applicable heavy vehicle laws. All vehicles are limited to 100km/h on freeways — allow additional travel time on all services, including shorter journeys.
6. Additional Service Information
| Unsealed Roads | All minibuses and coaches are prohibited from operating on unsealed roads. A short sealed gravel driveway may be acceptable, but extended unsealed surfaces are not accessible for commercial passenger vehicles. See the Unsealed Roadways Policy for full details. |
| Onboard Facilities | Vehicles do not have Wi-Fi. Onboard toilets are not in use for safety reasons. Comfort stops can be arranged at suitable locations along the route if required. |
| Speed Limits | All buses are limited to 100km/h on freeways regardless of vehicle size. Passengers should allow significantly more travel time than equivalent private vehicle journeys, particularly over longer distances. |
| Loading & Unloading | Boarding and alighting takes considerably longer than most clients anticipate. Allow additional time at each stop. This applies particularly to school groups, elderly passengers, and services with multiple boarding points. |
