| Overview | Sydney Charter Bus Pty Ltd is committed to providing safe, compliant and efficient passenger transport services throughout New South Wales and Australia. Due to strict vehicle weight limits, luggage bay capacities and Heavy Vehicle National Law (HVNL) obligations, all luggage and oversized items must be accurately declared at the time of booking. This policy forms part of our Conditions of Carriage and applies to all services operated by Sydney Charter Bus Pty Ltd. |
1. Purpose of This Policy
The purpose of this policy is to:

| ✓ | Maintain compliance with applicable Australian road transport laws |
| ✓ | Prevent overloading of coaches and luggage compartments |
| ✓ | Protect passengers, drivers and the public from safety risks associated with excess baggage |
| ✓ | Ensure the correct vehicle type is allocated based on passenger and luggage requirements |
Failure to accurately declare luggage requirements may result in additional charges, delays, denied carriage of items, or the requirement for additional transport services at the hirer’s expense.
2. Vehicle Weight & Capacity Compliance
All coaches, minibuses and vehicles operated by Sydney Charter Bus Pty Ltd are subject to:

Vehicles travelling on Australian motorways and freight routes may be directed into roadside weigh stations or heavy vehicle inspection sites. If a vehicle exceeds its legal operating weight, authorities may:

| ! | Prevent the vehicle from proceeding |
| ! | Require immediate offloading of luggage or passengers |
| ! | Delay the journey until the overload situation is rectified |
For safety and legal compliance reasons, Sydney Charter Bus Pty Ltd will not knowingly operate an overloaded vehicle.
3. Declared Luggage Requirements
The hirer is responsible for accurately declaring all luggage and oversized items during the quotation and booking process. Vehicle allocation and pricing are based on the information originally supplied in the booking enquiry and confirmation.
Undeclared or additional luggage may result in:

Any resulting additional costs will be payable by the hirer.
4. Examples of Excess or Oversized Luggage
The following items are considered excess, oversized or non-standard luggage. This list is not exhaustive:

| Music & Events | Musical instruments, drum kits and audio equipment, event materials and display equipment, photography or filming equipment |
| Family & Travel | Prams and strollers, wheelchairs and mobility aids, oversized suitcases, additional bags beyond original booking quantities, bulk shopping items |
| School & Work | School camp luggage, trade equipment, camping equipment, boxes and cartons, portable generators or machinery |
| Other | Any item unable to safely fit within standard luggage compartments |
Motorised mobility scooters and dangerous goods may be refused carriage unless specifically approved in writing prior to travel.
5. Driver Manual Handling & Lift Limits
Under Work Health and Safety (WHS) obligations, drivers are not permitted to manually lift excessively heavy items.
Sydney Charter Bus Pty Ltd applies a recommended single-item manual lift limit of 20 kilograms per item for driver handling purposes.
Passengers and hirers are responsible for:

Drivers reserve the right to refuse loading of any item considered:

| ✗ | Likely to cause injury or vehicle damage |
For workplace safety reasons, drivers are not required to lift luggage above safe manual handling guidelines.
6. Additional Vehicle or Luggage Transport Services
Where luggage exceeds the capacity of the allocated vehicle, Sydney Charter Bus Pty Ltd may require:
| A larger coach upgrade |
| An additional luggage trailer |
| A second vehicle |
| A dedicated luggage van or truck |
| Separate luggage transfer services |
These services are subject to availability and additional charges.
Where excess luggage is discovered on the day of travel and additional transport arrangements are required urgently, delays may occur and additional fees will apply. Sydney Charter Bus Pty Ltd does not guarantee immediate availability of secondary transport services without prior notice.
7. Refusal of Carriage
Sydney Charter Bus Pty Ltd reserves the right to refuse carriage of:

| ✗ | Items exceeding vehicle capacity |
| ✗ | Items presenting a safety risk |
| ✗ | Items that may damage the vehicle |
| ✗ | Goods prohibited under Australian transport legislation |
Any refused items become the sole responsibility of the hirer or passenger.
8 & 9. Liability & Customer Recommendations
8. Limitation of Liability
Sydney Charter Bus Pty Ltd accepts no responsibility for:
| Delays caused by excess or undeclared luggage |
| Additional transport costs arising from undeclared items |
| Losses resulting from refused carriage |
| Damage to improperly packed items |
| Government penalties arising from incorrect customer declarations |
Passengers remain responsible for their personal belongings at all times.
9. Recommendations for Customers
To avoid delays and additional costs, we strongly recommend:
| ✓ | Declaring all luggage accurately at the time of booking |
| ✓ | Advising us of any oversized or unusual items prior to the service date |
| ✓ | Providing estimated baggage quantities per passenger |
| ✓ | Contacting our office prior to travel if luggage requirements change after booking confirmation |
Our operations team can arrange suitable vehicle upgrades or additional luggage transport solutions where required.
