Book too small and the trip becomes a compliance issue or a comfort problem. Choose a vehicle suited to school transport for a winery tour and your guests spend the day looking at the back of a headrest with nowhere to put their bags. Choose a touring coach for a ten-minute CBD staff shuttle and the cost is out of proportion to the requirement.

The Golden Rule: Match the Vehicle to the Confirmed Passenger Count
Before looking at vehicle types, one principle applies to every booking: choose the vehicle that matches your confirmed passenger count, not your maximum possible passenger count. Charter bus hire is priced by the vehicle, not by the number of passengers. A group of 18 confirmed travellers should book a 20-seat Coaster, not a 34-seat midi-coach. A group of 30 should book a 34-seater or a 42-seater, not a 57-seat touring coach, unless there is a genuine operational reason for the larger vehicle.
Standing passengers are not permitted on any SCBA vehicle under any circumstances. Every passenger must have a seat. Equally, you should not book a vehicle that is too small and plan to leave people behind or add them at the gate. The booked seating count is the legal capacity. If your group size increases, contact us before the service date to discuss upgrading to the appropriate vehicle.
Quick formula: Confirm your passenger number, then choose the vehicle that fits that count. If your count falls between sizes, go up to the next size rather than down. A comfortable group in a slightly larger vehicle is better than a cramped group in a vehicle that is technically within limit but impractical on the day.

Luggage: What Fits, What Needs a Trailer, What Counts as Excess
Luggage is one of the most frequently overlooked parts of the vehicle selection process, and getting it wrong creates real operational problems on the day of service.
Standard Luggage Allowance
The standard allowance on all SCBA services is one large suitcase and one cabin bag per passenger. This applies regardless of vehicle type. On coaches with underfloor luggage bays, large suitcases are loaded into the hold and cabin bags go into the overhead parcel racks. On minibuses, luggage goes into the rear cabin space or a towed trailer.
Luggage Trailers
Luggage trailers are available for minibus services where the in-cabin storage is insufficient for the group’s luggage. They are enclosed, lockable and weatherproof. The trailer capacity is matched to the vehicle it is paired with: a 20-seater Coaster pairs with a trailer suited to 20 suitcases, and a 12-seater with a proportionally smaller trailer. A 12-seater with a large 20-suitcase trailer is impractical operationally because the trailer is wider and taller than the tow vehicle, causing wind resistance and reducing fuel efficiency and handling. If you need a trailer, advise us at the time of booking.
Oversized and Excess Luggage
The following items are considered oversized and must be declared at the time of booking:

Children, Infants & Child Restraints on Buses in NSW
This is one of the most frequently asked questions in school and family group transport. The relevant NSW regulation is clear and it surprises many parents and school administrators who assume the same rules as cars apply.
NSW Law: Buses with More Than 12 Seats
Under NSW Service NSW regulations, the driver of a bus designed to seat more than 12 adults (including the driver) is not required to ensure that passengers, including those under 16 years of age, are in a restraint. This means that a parent travelling on a bus of this size may hold or nurse a baby or toddler without a child restraint or booster seat. It is recommended that where a seatbelt is available and fits the child, it should be used.
In practical terms: for children travelling on full-size coaches (more than 12 seats), child restraints are not a legal requirement, though they are always recommended where a seatbelt can be appropriately fitted. For children travelling on very small vehicles with fewer than 12 seats (such as a minivan), standard child restraint law applies.
SCBA strongly recommends that parents and schools advise us of the ages of all children travelling at the time of booking, particularly for groups with infants and toddlers, or for passengers arriving from overseas jurisdictions with different legal standards. This allows us to advise on the appropriate vehicle and any specific requirements for the planned service. Frequently Asked Questions on Vehicle Selection
| Can I request a specific vehicle model? | You can specify the vehicle type and seating capacity. We will allocate the most appropriate available vehicle of at least equivalent capacity. A specific model or registration number cannot be guaranteed, but we will never substitute a vehicle with less capacity or materially reduced comfort without prior notice. |
| Can I book a self-drive bus? | No. All SCBA vehicles are provided with a fully authorised, licensed and insured SCBA driver. We do not offer dry hire or self-drive bus hire under any circumstances. |
| What if my group size changes after I book? | Contact us as soon as possible. If your numbers increase beyond the booked vehicle’s capacity, we will advise on upgrading to the next appropriate size. Changes to passenger counts, vehicle type or itinerary after confirmation may affect the quoted price. See Section 4 of our Terms & Conditions. |
| Which vehicle is best for a wine tour? | The 20-seat Toyota Coaster is our first recommendation for wine tours, Hunter Valley day trips and sightseeing excursions. The low-backed seats give everyone a full view, the social layout encourages group conversation, and the interior is comfortable for a full day. For larger wine tour groups, the 34-seat midi-coach or a full-size coach are appropriate upgrades. |
